Freight, labor and rigging at Strip resort venue
Strip resort conference space — ARIA, Wynn and Encore, Caesars Palace, MGM Grand, Resorts World and The Cosmopolitan among them — carries hundreds of thousands of square feet of ballroom and meeting space each, but it is hotel space first and exhibit space second.
Loose goods carry the highest security burden of any product category on the Las Vegas calendar, with count-in, count-out, insured transport and overnight vaulting all mandatory.
Ballroom ceilings are lower than hall ceilings and frequently interrupted by chandeliers, soffits and air walls, so tall structures and hanging signs often have to be redesigned into the backwall. Resort ballrooms load through service corridors and freight elevators shared with hotel operations, so crate dimensions, panel lengths and delivery windows are governed by the building rather than by the booth design.
Las Vegas labor jurisdiction applies and the show's general contractor publishes the rules for each event. The tradeoff is proximity: attendees walk from their room to the floor, and dwell time goes up.

How far in advance do I need to book an exhibit for AGTA GemFair Las Vegas?
Book as early as you can, and at minimum work backward from the deadlines rather than forward from today. Graphics need artwork approval before output, freight needs a targeted move-in window, rigging and electrical orders carry discount deadlines that close weeks ahead, and hanging signs at Strip resort venue need approved drawings. Exhibitors who come to us three or four months out get the best result and the best price. We take projects much later than that and still deliver, but late work costs more because everything moves to expedited rates.

Either way, material handling is charged by weight and it is one of the largest and least-predicted lines on a show budget. We plan the route, the packaging and the weight with that in mind, and if you rent from us the freight originates here in Las Vegas and a lot of that cost disappears.
